About the Role
As the Trust Administrator, you’ll be responsible for managing the trust account across a mixed residential and commercial portfolio. This role will see you take charge of all trust-related processes — from mid and end-of-month payments to rent arrears, invoicing, and water accounts. You will work closely with a supportive property management team and provide vital financial support to ensure smooth operations and full compliance across all trust functions.
Key Responsibilities
This is a hands-on role where your accuracy and trust accounting expertise will be highly valued.
Your day-to-day responsibilities will include:
- Managing the day-to-day trust account in accordance with legislation and company policies
- Processing mid and end-of-month payments
- Reconciling bank accounts daily to ensure accuracy and compliance
- Allocating tenant payments including rent, bonds, and invoices accurately
- Lodging, transferring, and refunding bonds with relevant government authorities
- Managing commercial outgoings such as council rates, strata levies, water, and insurance payments
- Monitoring rent arrears, generating reports, and liaising with property managers for follow-up action
- Maintaining accurate tenant and landlord ledgers for residential and commercial portfolios
- Processing and reconciling water accounts and other property-related outgoings
- Handling rent reviews and CPI adjustments, particularly for commercial leases
- Creating invoices and processing payments to creditors, suppliers, trades, and owners
- Preparing timely trust account reports for internal teams and external auditors
- Assisting with audit preparation and liaising with external auditors as required
- Preparing End of Financial Year statements and tax summaries for landlords and tenants
- Coordinating with external parties such as strata managers, utilities and local councils as needed
To succeed in this role, you’ll be a natural organiser with a strong grasp of compliance and trust accounting practices. Ideally, you’ll bring:
- Previous experience in trust accounting (real estate industry preferred)
- Proficiency in property management software such as PropertyMe, Property Tree or Console
- Solid understanding of trust legislation and best practice financial processes
- Strong attention to detail with excellent organisational and time management skills
- Ability to work independently and communicate confidently with internal teams
- A calm and methodical approach to deadlines, reporting and audits
