The Role
We are seeking a highly organised and proactive Sales Co-Ordinator and Administration Manager to support a dynamic sales team. This pivotal role offers the opportunity to be at the operational heart of the business, contributing to its efficiency, compliance, and client experience. The ideal candidate will bring a balance of administrative finesse, systems confidence and polished communication.
Duties and Responsibilities
- Provide high-level administrative support to the sales team
- Prepare and collate professional appraisal reports and sales documentation
- Process listings and contracts including Agency Agreements, Addendums, Variations, and Form 1s
- Manage financial processes including receipting sale deposits, disbursing funds from the Trust Account, and monthly reconciliation
- Liaise with conveyancers, solicitors, and external stakeholders throughout the sales process
- Ensure accurate daily task management within Agentbox
- Invoice, receipt, and manage the recovery of VPA
- Order searches and prepare in-house Form 1 documentation (Public Trustee sales)
- Enter property rates into Agentbox and oversee database accuracy and maintenance
- Generate and present weekly settlement and outstanding VPA reports
- Support internal meetings and assist with filing, archiving, and reception when needed
- Handle reporting duties for Public Trustee and South Australian Housing Trust
- Perform ad-hoc tasks remotely where required
- Design and coordinate print marketing including brochures, signboards, and branded collateral
- Manage and update digital property listings across multiple platforms including realestate.com.au, domain.com.au, and the company website
- Assist in managing online inspection schedules and corporate promotional content
To excel in this role, you will need demonstrated experience in real estate or a similar administrative capacity, ideally with trust accounting exposure. You are confident with property management or CRM systems (preferably Agentbox), possess strong attention to detail, and have a keen ability to prioritise tasks. Your communication is polished, your approach is solution-focused, and your commitment to high standards is unwavering.
